1 2017 ARTIST PLANNING GUIDE This document is subject to change as of May 21, 2017 About the Festival 2017 is the 56th annual Columbus Arts Festival. Since its humble beginnings on the Statehouse lawn in 1961, the Festival has evolved into one of the largest and most prestigious visual arts festivals in the country. Located at the picturesque Columbus Riverfront, the Columbus Arts Festival features more than 300 nationally-acclaimed artists, gourmet fare from some of the city s finest restaurants and exciting live performances. All participating artists will be displayed on our Artist Gallery page, where you can find artist contact information and a photograph of their work. Several important tools such as the Artist Handbook, Festival Prospectus, juror biographies, an Artist Statement example and a link to the Zapplication website will also be available through the website. 1
2 EXECUTIVE SUMMARY The official purpose of the Columbus Arts Festival is stated as follows: The Columbus Arts Festival is an outdoor event, the purpose of which is to bring together a large cross section of the community for the opportunity to purchase and learn about fine art and craft from the artists whose work is shown, and also to promote the arts in general. The Festival aims to project a positive image of Columbus and, in particular, the downtown area. This is to be accomplished in a clean family oriented atmosphere with appropriate enhancements such as fine food and entertainment, always keeping in mind that the presentation of fine visual artists is the core and focus of the event. The newly revitalized Scioto Mile Park along the river will feature lush green spaces, a charming promenade, mesmerizing water features, plazas, paths and bikeways. The Columbus Arts Festival celebrates its 56th anniversary this year, located on the Columbus Riverfront. Festival goers can choose from a variety of creative and original works of art including sculpture, painting, photography, woodcarvings, glasswork, jewelry, multimedia compositions, and more. Thousands of dollars of art is sold during the festival, ranging from one-of-a-kind art to quality reproductions and limited editions. A highly competitive, juried art show, the festival receives over 1,000 applications from which an esteemed panel of judges selects 280 of the country s best artists. Enjoy food and drinks from great area restaurants and vendors, children s art activities and entertainment. Attendance: An average of 400,000 people attend the festival annually, making it one of the largest statewide events behind the Ohio State Fair. 2

Artist Hospitality including java, bagels, bottled water Informational materials Assigned space measuring at least 10 feet x 10 feet Exhibitors sign listing artist name, booth space number, medium and hometown Complimentary booth sitters by CAF Volunteers Included in the 2017 CAF Guidebook and website Info about your work on Artist booth sign Artist name badge & lanyard (as needed) One Assistant Name Badge A listing on RULES/REGULATIONS Artist Website: The Columbus Arts Festival considers its enforcement of the rules our exclusive right and responsibility. All artists must be present to exhibit all 3 days of the Festival. This includes collaborating artists. Proper ID is required of both artists. If artists apply as collaborating artists, each artist must be present. If each artist is not present, artists will not be permitted to set-up or exhibit. If Artists apply as partners, each artist must be present all three days. Collaborating artists may only show their joint work. Both names must appear on all application materials. Festival team members will visit all displays throughout the Festival to ensure that exhibitors comply with the prospectus and all Festival rules. Work in juried images must be representative of the work to be shown at the Festival and the correct inventory proportions. Working Example: If a photographer submits 3 black and white images and 1 color image to the jury, the artist is committed to bring and sell 75% black and white photos. Current body of work must be displayed starting from creation date of 2012 forward. Work created before 2012 will be considered reproductions and would have to adhere to the reproduction guidelines. No mass-production or manufactured work is permitted. 3
4 All work must be designed and executed by the accepted artist(s). It is the work by the artist that is juried, therefore any change in the body of the work by the artist is not considered juried and may not be sold unless approved by the Festival Director. Artists are required to display an Artist Statement including a photograph of the artist in their booth during the Festival. A picture ID is required at artist check in by all artists accepted to exhibit, including collaborating artists. In addition, the Festival reserves the right to check ID s each day of the Festival to ensure the artist is present. Artists may display work only in the media categories in which they are accepted. All work exhibited must be comparable to work shown in submitted images. Exhibiting work that was not juried into the Festival is grounds for removal from the show. The sale of promotional items is prohibited. Examples include, but are not limited to: note cards, cards, postcards, cell phone holders, posters, how to books, books, calendars, t-shirts, mouse pads or photocopies of any kind. Artists retain 100% of their sales and are responsible for the collection and reporting of all applicable sales taxes. Franklin County sales tax is 7.50% ( City of Columbus and State of Ohio sales taxes are applicable on all sales. The current rate is 7.50%. The Ohio Department of Taxation website is Each exhibitor is responsible for recording, collecting and paying current state and local sales taxes on all sales made during the Columbus Arts Festival. This requires appropriate reporting to the State of Ohio and City of Columbus with proof or accurate record of each individual transaction. State of Ohio taxation can be found on All participating artists must pay sales tax and secure the appropriate paperwork prior to the Festival. If English is a second language for any artist and information needs communicated, the artist is required to provide access to an interpreter. Artists will abide by Load-in/Load-out procedures monitored by Festival staff and the Columbus Police. Late arrival will result in load-in at the conclusion of scheduled load-in periods. Failure to abide can affect future participation in the festival. REPRODUCTIONS: Reproductions must be a subsidiary part of the artist's display. All reproductions must be clearly and individually labeled on the front of the each piece as such; no other terms such as "print" or "offset lithograph" may be used. Required labels on artwork are to say reproduction. Work that was made before 2012 will be considered a reproduction, will need to have labels and can t exceed 25% of your booth. Reproductions must be in signed editions of no more than 250, hand pulled by the artist. No "hand-colored" reproductions. 4
5 Framed reproductions may be displayed on one wall of the booth, not to exceed ten (10) linear feet. All unframed reproductions must be displayed in browse bins. 2-D reproductions allowed with restrictions (see restrictions in Medium Definitions) An excessive number of reproductions will not be tolerated at the Columbus Art Festival and we will be walking the festival site daily to monitor for violations. If you feel any artist is violating any of the regulations or guidelines put forth in the prospectus contacts us All decisions on reproductions will be made final by Artist Market staff and the Festival Director. Any non-compliance violation to reproduction decision will result in the removal of the exhibitor. Artist Technical Sheet and Contract All artists must fill out a contract available through You have to file booth requests, festival tent rentals, all electrical requirements, and other on-site needs through this document. This is imperative information was due March 15, Payment & Responsibilities Fees The standard 10 x10 booth space fee is $ All spaces have access on one side and one electrical outlet (5 amps/550 watts). One (1) parking space is also included in your booth fee. A corner booth is an additional $ fee for a total of $ A double booth is a 10 x20 space that has an additional fee of $575.00, which sums to a total of $ Refund Policy All cancellations must be sent in writing to skessler@gcac.org Up to March 21, 2017 Between March 21-April 30, 2017 After April 30, % of fees, less a $35 processing fee, will be refunded. Artists will receive a 50% refund of their booth fees, less a $35 processing fee. There will be no guaranteed refund of fees for withdrawals Exhibitor Equipment & Rentals Artist Booth Space Booth purchases are available from February 21 to March 21, Booth assignments will be available through Zapplication after May 21, All artists will have a booth sign, exhibitor name badge, one vehicle site access/parking pass, a listing on ColumbusArtsFestival.org, listing in the festival guidebook, festival assistant badge (as requested) and access to the Artist Lounge. The 2017 Columbus Arts Festival Staff will inspect booths onsite to ensure adherence to rules and standards. Individuals selling work that is not their own, or otherwise misrepresenting their product or themselves are not welcome and are requested to refrain from applying. Exhibitors found not to be in compliance at the very least will be asked to remove the unacceptable items, and risk forfeiture of all rights as an exhibitor. This includes closure of their booth for the rest of the Festival with no refund of fees. 5
6 Artists are responsible for providing their own booth, equipment and insurance. We do provide limited festival tents for an additional $100. Tents include lighting (two (2) 100 watt bulbs) in addition to the five amps of power provided. Please see Electricity to purchase additional electric. Tables and chairs can also be rented for an additional cost. To purchase tables and chairs please contact Festival & Event Coordinator Kez Hall. Deadline to purchase a festival tent is May 1, The Columbus Fire Department has introduced a new regulation restricting the use of EZ Up tents during any outdoor festival. If you have an EZ Up tent we suggest you purchase a festival tent. Artists found in violation will be asked to leave the Festival. If you are bringing your own tent, please include a Certificate of Flame Resistance with your Artist Technical Sheet. Certificates should be included with the purchase of a tent/canopy. We have the following major tent manufacturer s certificates on file: Caravan Canopies, Craft Hut/ Trimline/ Flourish, Light Dome, and Show Off. The Columbus Fire and Building Departments require a fire extinguisher in each booth (household size is fine). You must bring your own and be prepared to present the extinguisher during inspections. The Columbus Arts Festival has introduced new regulations due to weather related incidents, EZ Up and accordion style tents are banned for use during the Festival. Any violation to these rules will result in the removal of the exhibitor. All work exhibited must be limited to the booth space. The Columbus Arts Festival does provide an option for exhibitors to purchase a festival tent. Festival tents are processed by application date. Please see information listed under Artist Technical Sheet if you would like to purchase a festival tent. Weight System The Columbus Arts Festival outlines proper weights in our Pre-Festival newsletter located at Electricity Five (5) amps (550 watts) of power are included with your booth fee. You may purchase an additional five (5) amps for $50. Ten (10) amps total is the maximum allowed per booth. Deadline to purchase additional electric is May 1, WiFi Please bring your own access to WIF as the free wifi available around the Festival site may not be dependable due to signal strength. It may be low due to a large number of users trying to connect at the same time. 6
7 On Site: June 8 - June 11, 2017 Check-In Information Artist check in is located at corner of Belle and Chapel Street, in the Artist Parking lot. Photo identification is required for check in. Proxy or helpers are not permitted to check in for you or set up your booth. Check in starts Thursday, June 8th, 2017 at 8:30 A.M. Please arrive at your designated time frame so we can check you in and send you on your way to start your booth set up. Booth assignments, driving instructions, location procedures can be found on Check-In Procedures Columbus Police Officers along with our Operations/Artist Market Teams will assist you with entering the festival site. Check in with your Artist Market Team member assigned to your area prior to unloading. Load-in times are assigned and structured, so please do not request an exception to our process of getting vendors, artists, electric, beverages and all other aspects of the festival set-up on site. Your access/parking pass must be in your driver s side window at all times from festival set-up to festival close. Artist Market Booth: located at entrance to Rich Street Bridge and Civic Center Drive. Look for signs. Artist Customer Service: Artist Booth Sitter: Check the Artist Daily Newsletter for more information. Emergency Notifications We will have an emergency notification system. A loudspeaker system is positioned in multiple locations across the Festival. Should an emergency arise, please notify security, staff or a committee member. Please make sure to provide an emergency contact on your technical sheet. Security The Columbus Arts Festival provides 24-hour security through the Columbus Police Department. However, artists are solely responsible for the security of their booths and equipment. The Columbus Arts Festival staff recommends removal of all valuables from your booth each night. All displays and materials should be stored in a secure place. We encourage participants to take precautions with their belongings and always lock car doors. Pickpockets and other professional thieves recognize large public events as opportunities to exploit unsuspecting people. Use precautions normally taken when traveling and participating in any outdoor event to protect your product, cash and other belongings. 7
8 2017 On-Site Jury: (and members of the 2017 CAF Jury, also): Mary Gray, Angela Gardner Melecca and Mikelle Hickman-Romine 2017 AWARDS: Three independent jurors are invited each year to evaluate all artists work in the Festival and to select twelve award winners on opening day. All artists, regardless of category, are eligible for these awards. Each award winner receives a ribbon, a cash award, and an invitation to bypass the jury process in Best of Show - $2,000 2-Dimensional Jurors' Choice - $1,000 (3) 3-Dimensional Jurors' Choice - $1,000(3) Merit Awards - $500 (3) Best Presentation - $500(1) Best Emerging Artist (1) Awards are presented to the winning Artists early on Saturday, June 10. MEDIUM DEFINITIONS: Categories are used by the Columbus Arts Festival as a tool for organizing artists images into logical, related groups for the jury s review. While a balanced show that equitably showcases both works of fine art and fine craft as well as diversity among media is a principal Arts Festival objective, the Arts Festival establishes no quota or entitlement by media category. All work must be original and signed handcrafted work. The artist signature defines and establishes artistic ownership and it guarantees the accuracy of the description of the works presented and the authenticity of the work as the creation of their own hands. 2D Mixed Media Works that incorporate more than one type of physical material in their production. Twodimensional Mixed Media should include more than one of the following: paint, pencil, watercolor, photography, printmaking or drawing, fabric or other found objects. 3D Mixed Media Works that incorporate more than one type of physical material in their production. Threedimensional Mixed Media should include more than one of the following: claywork, fiber, glass, metal, wood, or any other 3-D objects. Ceramics All original clay and porcelain. If multiple pieces of the same design are displayed, the artist must sign each piece. Machine-made and mass-produced work is not permitted. Digital Art Original work utilizing computer technology to craft or manipulate visual images. Work must be printed on archival quality paper and be properly signed and numbered as a limited edition. Exhibitor must disclose and display both their creative and printing processes in their booth during the Festival. Drawing & Pastels Works created using dry media including chalk, charcoal, pastels, pencil, wax crayons, etc. or from fluid medium of inks and washes applied by pen or brush. 8
9 Fiber All work crafted from fibers, including basketry, embroidery, weaving, tapestry and papermaking. No machine-tooled, machine-screened patterns or miscellaneous forms of mass production are permitted. No factory produced items, regardless of additional modifications or enhancements may be exhibited. Glass Glass works that are functional or decorative by design and are kiln-formed or have been crafted by glass blowing, molding, or casting. Works may be etched or engraved. No forms of mass production are permitted. Jewelry ALL jewelry, whether produced from metal, glass, clay, fiber, paper, plastic or other materials. No commercial casts, molds or production studio work is allowed. Limited use of per-made material such as beads or small ornamental items is permitted. Leather - Work where the primary material is leather including belts, handbags, wearables and sculptural work. All factory-produced items regardless of additional modification or enhancement by the artist are prohibited. Metal Includes all non-sculptural, non-jewelry work crafted from metals. No production studio work is allowed. Painting Works created in oils, acrylics, watercolor, etc. Photography The process of capturing images that begins with a camera lens, then printing the images, by chemical or digital means, onto a surface. The photography category includes traditional film photography that has not been manipulated to achieve results beyond what could be done in a traditional darkroom. All pieces must be signed, numbered and dated in limited editions of no more than 250. Prints must have been processed by the artists. In addition to the above, the surface on which the photographs are printed must be identified in the description (paper, aluminum, wood, fabric, canvas, etc.). Photographers are required to disclose their creative and printing processes. Printmaking & Graphics Printed works for which the artist hand-manipulated the plates, stones, or screens. Prints must be signed and numbered as a limited edition. Printmakers are required to disclose their printing process. Sculpture Three-dimensional original work created in any medium. Wood Original works that are hand-tooled, machine-worked, turned or carved. Emerging Artist Program Established in 2011, the Columbus Arts Festival Emerging Artist Program encourages participation by Central Ohio artists. The program is specifically for artists who have extremely limited or no experience exhibiting and selling their artwork at an outdoor venue. Artists who apply in this category must be residents of Franklin or surrounding counties in Ohio which include Union, Delaware, Licking, Fairfield, Pickaway, Fayette and Madison. The program is designed to attract and excite new Columbus artists to the possibilities of the Art Festival circuit, while giving them the practical guidance they need for success. Children s Gallery Donation A long standing tradition of the Columbus Arts Festival is the Children s Gallery. Hosted Saturday and Sunday during the Festival, the Children s Gallery is one of the most popular destinations for young visitors. Typically the kids and parents start lining up before the gallery even opens. The area is specially designed kid sized doorway allows kids 12 and under the opportunity to purchase a piece of artwork donated by you independent from the influence of an adult. All artwork is sold for $5 or less. The 2017 Artist Market Committee members will approach each artist on Friday or Saturday requesting Children s Gallery donations. Please include a business card with your donation, as we encourage the children to 9
10 find their artist on site and thank them personally for their donation. We appreciate our artists who have graciously donated to the Children s Gallery in the past. 10
