2 EMPLOYEE UNIFORM PROGRAM (Revised August 30, 2018) The Employee Uniform Program is a benefit offered to all full-time employees of All American Co-op. This program is meant to offer choices that are suitable to each employee s specific job responsibilities. It is important that employees are wearing uniforms and safety attire that make them identifiable as co-op employees to our customers and business partners. Employees should be proud to wear clothing that portrays a positive image of our co-op brand and image. UNIFORM POLICY: The image of our cooperative is very important and the appearance of our employees impacts the way our customers form an image of our employees and our cooperative. Suppliers and Customers visit our facilities and we want to put forth an image that will make us ALL proud to be All American Co-op employees. Good employee appearance helps convey a positive image. The Co-op provides an annual uniform allowance for full-time employees. Uniforms are ordered twice a year, in the spring and in the fall. All full-time employees are REQUIRED to wear these uniforms and keep them clean and neat. For safety reasons, employees are expected to wear clothing that fits properly. New full-time employees are set up with appropriate quantities to get them started in their new job. If an employee s attire does not meet company standards, you may be asked to change. If you are asked to change, you will be asked to punch out, go home, and return with the appropriate attire. All American Co-op offers an Employee Uniform Spending Budget Program. Each full-time employee will have an annual spending budget given to them. This annual budget amount will be based on their job designation (Admin or Operations) as determined by their manager. The budget will be available for a one year term beginning each September to be used for purchasing uniform choices offered by the co-op. UNIFORM PROGRAM Q&A: Annual Spending Budget Amounts: The Admin Group will have an annual budget of $125 per year. The Operations Group will have an annual budget of $200 per year. When will our budget be renewed? The annual budget will begin on September 1 st and will end on August 31 st of the following year. What if I have money left in my budget? You may rollover no more than 50% of your annual spending budget to the new budget year. The maximum dollar amount that can be in your account will be 150% of your annual spending budget. (Example: An Operations Employee s Annual Budget is $200. This Employee has $115 left at the end of a budget year. This employee may rollover $100 of that balance to the new budget year to have a maximum of $300 to spend.) This rollover option could be used as a tool to plan for those years when you need to purchase additional items such as Outerwear (Coats, Bibs, etc.) that may not need to be purchased annually. The budget is meant to be used for the sole purpose of ordering uniforms offered in the Employee Uniform Program and at no time will this account balance be paid out in cash. 2

3 What if I go over my budget? If you feel that you need more items than what your annual budget will allow, you may order more items and a payroll deduction will take place for the amount that is over your available budget. Why are there different budgets for different groups? It has been discussed that typically our operations group experiences much more wear and tear of their clothing items than our admin staff. It is also understood that typically the clothing that our operations staff wears such as the Hi-Viz and outerwear items cost more than the shirts and jackets that our admin staff purchases. How will I know what things cost? A uniform catalog will be provided that will include pictures, descriptions, and prices. What are Extended Sizes? In your catalog you will notice that there is a different price noted for Extended Sizes. This would be any items that are XXL or larger and anything that is ordered in a Tall shirt size. How will I know what my account balance is? A spreadsheet will be kept for each full-time employee that will track each person s individual spending history. Employees may request to view these account balances. The person in charge of administering uniform orders will be the person to keep these records. When Can Purchases Be Made? Uniform Purchases will be offered twice a year, in the spring and in the fall. Receipts for jean reimbursements can be submitted anytime throughout the year. What about Jeans & Bibs? This program allows for complete reimbursement of jeans and bibs purchased by employees if the employees uniform budget allows. There are some requirements for this option. The jeans purchased must be purchased for work use and be suitable for each individual s job requirements. The bibs must be brown or black. They may not be any other color to be eligible for reimbursement. Copies of the receipts for jean or bib purchases must be submitted and approved in order to receive the reimbursement. Once the approval has been received, a payroll reimbursement will occur. According to Minnesota State Tax Laws, these reimbursements classify as a taxable line item and the appropriate tax rate will be deducted from the reimbursement. The full amount submitted will be deducted from the employees account balance at the time the payroll reimbursement occurs. Receipts can be submitted anytime throughout the year. What about New Hires? All American Co-op offers newly hired Full-Time employees a start-up uniform order that includes five shirt choices, plus a coat. If this newly hired full-time employees job description is designated as an Operations position, that employee may purchase a pair of brown or black bibs and submit that receipt for approval and reimbursement. 3
