GENERAL RULES & REGULATIONS PLEASE READ CAREFULLY BEFORE COMMENCING YOUR SUBMISSION 1 2 3 4 5 6 7 Entrants must have worked predominantly in the Australian or New Zealand hairdressing and related industries from the Awards period of March 2017 to March 2018. Entrants must also have documentation of their qualification and where applicable, have that available on request. See each category for specific requirements at www.hairexpoaustralia.com. All award categories are open to both Australia and New Zealand salons, businesses or Individuals who actively work in each respective country and are predominantly based there (with the exception of Australian Hairdresser of the Year, New Zealand Hairdresser of the Year and all the State categories). Please refer to the relevant category rules to ensure you meet the specific requirements. Submissions will only qualify when completed via the Hair Expo Awards online platform following all rules and regulations as indicated. All of the work submitted must be solely the work of the entrant, except where specified, with a statutory declaration to be signed by all entrants regarding this. Entrants will also need to sign a statutory declaration stating they will not approach Hair Expo Awards judges in relation to their entry. You can enter as many categories as you like (as long as you meet the criteria), however you may only enter one of the following: Australian Hairdresser of the Year or New Zealand Hairdresser of the Year or a State title. There can only be one entry per person or team in a category i.e you can t submit 2 entries from the same person in the same category. All answers in your written submission (both creative and business categories) must describe performance and activities that have occurred only during the Awards period: March 2017 to March 2018. First round submissions are due by 5pm, Wednesday 4 April 2018. The deadline for entries is final. Entries will not be accepted after this date and time, and disqualification will apply, except in extreme circumstances. This is at the final discretion of Hair Expo/Reed Exhibitions Australia and the Head Judge. There is an entry fee per category of $50, with the exception of the Apprentice/Student of the Year category which has no entry fee. 8 9 All work is accepted in good faith and any entrants found not meeting the stipulated criteria will be requested to either: a) Update incorrect information that appears to have been a genuine error b) The entrant may be contacted by the Head Judge to seek clarification with the option to move the entry to a more appropriate category if it is deemed the entry does not adequately meet the stipulated criteria c) The entry can be disqualified. Any entrant who is disqualified will be notified by the Head Judge. The Head Judge and Hair Expo s decision is final and no correspondence will be entered into. If you wish to provide feedback, suggestions or register a complaint, please visit www. hairexpoaustralia.com/hair-expo-awards where you will find an online feedback form. This will go to the Head Judge and you will be contacted if required. 10 No employees of Reed Exhibitions, Hair Expo Australia or families can enter or judge the Hair Expo Awards. 11 Finalists will be announced at the Finalist Announcement Cocktail Party in Sydney, with the date to be advised for late April/early May 2018. All winners will be published online at www.hairexpoaustralia.com 12 Hair Expo and Reed Exhibitions Australia reserves the right to publish images and photography for publicity purposes, altered or in original form. 13 Entry to the Awards Gala Dinner in Melbourne on Monday June 11 is strictly by ticket only, which can be purchased on the Hair Expo website: www.hairexpoaustralia.com 14 All category finalists will receive one complimentary ticket to the Awards Evening Gala. 3 of 7
BUSINESS CATEGORIES 15 Business categories must submit all of their entry requirements by 5pm Wednesday 4 April, 2018. 16 Entrants must register and enter online at the Hair Expo Awards online platform and must complete the written answers via the platform as specified. No printed written submissions will be accepted. The written submission must be completed in full to qualify, including adhering to the maximum attachment numbers and file sizes/types and maximum words per question where specified. You can view a summary of the questions and category information at www. hairexpoaustralia.com, but all the size parameters for your questions are detailed at the awards platform. 17 The relevant declaration forms must be completed and signed by all parties and uploaded with your online entry. 18 When illustrating your work with supporting documents, do not include any work that is not your own, unless requested. 19 Up to ten finalists will be selected in all business categories, based on the number of entrants in that category. CREATIVE CATEGORIES (Creative categories are those that include photographic collections) 20 Entrants must register their entry online at the Hair Expo Awards online platform. The link can be found at: www.hairexpoaustralia.com 21 The photographic collection is due 5pm, Wednesday 4 April 2018. You are not required to submit your written submission at this time. 22 You will only need to submit your written submission if you become a finalist. Once finalists are announced, you will be given approximately one month to complete the written component. It is mandatory for creative category finalists to submit this to retain their finalist placing. 23 Written submission questions are available for viewing on the Hair Expo website (www. hairexpoaustralia.com) as soon as the Awards open so that you may familiarise yourself with the questions you may be required to answer. We strongly suggest you look at these prior to commencing any of your entry. 24 No printed written submissions will be accepted. The written submission must be completed in full to qualify, including adhering to the maximum attachment numbers and file sizes/types, and maximum words per question where specified. This will be detailed at the awards platform and can also be found at the Hair Expo website: www.hairexpoaustralia.com. 25 Creative categories must submit six photos for the photographic collection, with the exception of Apprentice/Student of the Year entrants who submit four photographs to make up their collection. The photographs must be produced within the Awards period: March 2017 to March 2018. 26 The images submitted as part of your Awards submission and/or images of you working on your collection (except for Session Stylist and Best Salon Design) must not** have been published anywhere^ prior to first round judging, with the following provision in rule 27: 27 Your photographic collection can originate from a photo shoot that has been, or is being used, for another purpose, for example, entering other Awards. However, your Hair Expo Awards collection must have certain changes to it in order to be eligible as follows. ** Including behind the scenes photos taken of the models/hair or photo shoot. ^ Including social media channels such as Facebook, Instagram and Twitter etc. 4 of 7
Your collection MUST meet ALL of the following criteria: If elsewhere the collection has been used in colour, then it must be changed to black and white or vice versa for the Hair Expo Awards entry. You must use a background that is NOTICEABLY different to the background you have previously used. A small change will not be considered adequate. All photo s submitted must be taken from a NOTICABLEY different angle to how they are being used elsewhere. You cannot publish this fresh version of your collection anywhere (online or otherwise) prior to the Hair Awards Finalist Announcement.** The hair, model and clothing can be the same as long as the above conditions are ALL fully met to the satisfaction of the Head Judge this gives you the benefit of completing two collections from one photo shoot. Please note: The above does not apply to the categories of Australian Hairdresser of the Year and New Zealand Hairdresser of the Year who have to shoot exclusively with a stand alone collection for their Hair Expo Awards entry. 28 29 IF YOU ARE UNSURE IF YOUR RE-WORKED COLLECTION MEETS THE CRITERIA ADEQUATELY, YOU MUST CONTACT THE HEAD JUDGE FOR CLARIFICATION BEFORE ENTERING. We highly recommend you do this to ensure you are not in breach or the rules or face possible disqualification. See details below. You may enter a creative category (other than Colour Technician of the Year) where you have completed the cutting and styling, and another hairdresser has completed the colour work. In this case the entry is attributed to the stylist only. However please include the colourist s name in the photography credits. In the reverse, you can enter a collection as the colourist from the above mentioned entry, or a fresh entry, in the category of Colour Technician of the Year where a different hairdresser has completed the cutting and styling. This entry will be attributed to the colourist only, however, please include the stylist in the photography credits. See the following rule for the exception to this. Australian Hairdresser of the Year and New Zealand Hairdresser of the Year must shoot their photographic collection exclusively for these respective titles and cannot include photos from any other category in their entry and vice versa. The only exception to this is the Salon Team of the Year Category where Australian/ New Zealand Hairdresser of the Year entrants may include two photos from their entry collection in their Salon Team of the Year entry collection. 30 In the category of Colour Technician of the Year, wigs, hairpieces, wefts and extensions are not permitted. You must be applying colour to, and photographing only the natural hair of your model. In this category you will sign an additional statutory declaration to confirm no wigs, hairpieces, wefts or extensions have been used. Violating this rule will result in disqualification. 31 You are required to submit one set of six A4 photographic prints (except for Apprentice/Student of the Year who are required to only submit four photos). The size of these photos must be A4 size (with the exception of Session Stylist of the Year category where the photo must be A4 height, however there is no restriction on the width of the photos). 32 All photographs must be mounted on mount cardboard exactly to the print trim with no cardboard border. 33 3mm is the required maximum thickness for the mount cardboard PLEASE DO NOT USE foam core, wood, core flute or MDF. Mount cardboard is the preferred choice for the professional finish it gives, and it does not damage easily. We strongly advise you have a professional printer mount these. If you are having trouble finding a printer to do this, Hair Expo can assist. Please refer to www.hairexpoaustralia.com for details. 5 of 7
34 35 36 Full photography credits are to be provided on a label on the back of the mount cardboard i.e. the category entered and the hairstylist, colourist, makeup artist and photographer used. Please also number each photograph in the preferred order of display for the live photographic gallery. Please place these labels in the middle back of each photo. It is your responsibility to package your photographic collection properly so that it is not damaged in the courier or postage system. Hair Expo Australia accepts no responsibility for submissions which may become lost in the mail and will not be liable for any loss or damage to submissions. Photographic collections will not be returned. You are also required to upload your photographic collection to the Hair Expo Awards online platform. It must be high resolution RGB JPEG format. The images may be used for promotion of Hair Expo Australia/Reed Exhibitions Australia, altered or in original form. The Awards online platform will accept uploading of photos no more than 5MB in size. You may be asked to provide different formats if you are a finalist. Please note that we cannot take responsibility for a variance in image colours depending on the medium used e.g print vs online. 37 RAW PHOTOS All creative categories (other than Best Salon Design and Session Stylist), must include the following with their Photographic Collection: Unedited/raw images for each of the final images in your collection that are the same as your final images. These must come directly from your photographer, but with no photo retouching, editing, or manipulations. You will be asked to upload your raw/unedited images alongside your final images in the online entry portal, but the Raw photos do not need to be printed. Your entry can be disqualified if the raw/unedited photos have not been uploaded, or if they have been manipulated in any way. Unedited images are used for judging purposes only and will not be released in any way. They provide context for the judges if they feel there has been over manipulation of the photograph, and specifically the hair, during post production. Judges accept some use of Photoshop and all other similar programs on the model s skin or wardrobe and the background or the odd flyaway hair however it is not to be used to alter the hair in any way including creating volume, filling in texture and changing the length or the style. For Colour Technician of the Year entries, no colour manipulation is permitted. 38 All photographs must be portrait in format, except for Best Salon Design which must be all landscape or all portrait. 39 With the exception of Apprentice/ Student of the Year, the photographs should include a minimum of four different models with a variation in styling represented throughout the six shots to form a collection (except for Best Salon Design and Session Stylist). For Apprentice/Student of the Year, a minimum of three models is required. 40 Professional photographers, makeup artists and stylists may be used. 41 42 43 Images do not have to be head and shoulders but they do need to focus on the hair (other than Best Salon Design). All images should be shot as one collection (other than Best Salon Design, Session Stylist and where applicable, Salon Team of the Year).You must thoroughly read the relevant category brief specific to your chosen category these briefs do vary per category and provide the key creative direction for your collection and the criteria judges will follow in order to mark each photographic collection. Photographs may be black and white or colour, except for Colour Technician of the Year where only colour images are accepted. 44 45 46 47 As the photography is judged anonymously, no branding is permitted in the photograph, except for Best Salon Design and Session Stylist of the Year. With both the State based creative categories and New Creative Force, you cannot enter any of those categories once you have won that category three times (does not have to be consecutive). Please choose another category if that happens. All entrants photographic work in each category will be displayed at the Finalist Announcement Cocktail Party which will be in Sydney, with a late April/Early May date and location to be advised. Finalist s photographic work in each category will also be displayed at Hair Expo Australia, 9-11 June 2018 at the Melbourne Convention & Exhibition Centre. 6 of 7
48 49 50 In your written submission when illustrating the work you have published, do not include any photos that are not your own work (e.g. magazine covers), unless requested. All photos used must be accompanied by correct credits and date of publication. The model release form and relevant declaration forms must be completed and signed by all parties and be included as a printed copy, posted with your final mounted photographic collection that you post to Hair Expo. Up to ten finalists will be selected within each of the creative categories, based on the number of entrants in that category. Judging process 51 First round judging: Photographic collections are judged anonymously i.e the name of the entrant will not be known to the judges. Photos are not judged again in the second round of judging, and the first round scores will be carried over and added to second round written submission scores. This maintains the anonymity of the photo judging to the very end. International and local judges participate in photographic judging. Business submissions are judged once. A selection of international and local judges will participate, as well as respected Australian business people outside of the hair industry. 52 Second round judging: 53 54 55 56 For the categories of Australian and New Zealand Hairdresser of the Year, only international judges will participate in second round written submission judging, along with respected Australian business people outside of the hair industry. All other categories will be judged by the first round panel of Australia and New Zealand industry leaders. Judges will be listed on the Hair Expo Website. Judges who are personally entering a category or are involved with an entry in any way are excluded from Judging that category entirely. Points weighting for creative category finalists is as follows: 50% - Photographic collection (the photographic collection mark from first round judging will be carried over to final judging) 50% - Written submission questions ( judged in second round) Judges will leave comments on all entries to assist with your understanding of how your submission (photographic and written) was viewed by the panel. You will receive these comments soon after the winners are announced. Please note that spot auditing by an independent third party will be carried out where necessary to ensure submissions are genuine and meet the stipulated criteria. 57 The same an independent third party will oversee the finalist and winners announcements. The amount of finalists in any category is subject to change and is at the discretion of Hair Expo Australia. The Head Judge represents the integrity of the Awards and ensures all judges mark with the categary criteria in mind. 7 of 7
