REQUEST FOR QUOTATIONS NOTICE REFERENCE RFQ 13-170 FIRE SYSTEMS INSPECTION VARIOUS CITY OF BRANTFORD LOCATIONS Sealed Quotations in a clearly marked envelope are to be delivered to Reception in the, Purchasing Department located at 1 Market Square, Lower Level, Suite 120, Brantford, ON, N3T 6C8, on or before 3:00 p.m. Local Time on Friday, December 20, 2013. This request for Quotations consists of providing all labour, materials, services, and incidentals to perform annual fire systems inspections (including fire extinguishers) and emergency lighting systems at various City of Brantford locations. Bidders are advised that there are several locations under this Quotation, all requiring different level of services and different intervals in accordance with the Ontario Fire Code, and any other applicable regulations, systems inspections are to include; Fire alarms and their related components (CAN/ULC-S536) Sprinkler, standpipe and their related systems (Ontario Fire Code) Commercial Cooking Equipment at the named facilities Servicing, recharging and testing all portable fire extinguishers (OFC, Section 6.3, fire extinguishers Replacement of equipment, when both required and authorized by City s representative Miscellaneous ancillary items. * It is intended that incidentals such as pin tags, butane and smoke be included in the cost of the inspection, and will not be charged as an additional. There is a Section A (consisting of Residential and Commercial properties), and a Section B (The Sanderson Center - which requires considerable attention and special equipment) for this Quotation. Bidders may choose to bid on Section A and Section B, or Section A, or Section B separately. Bidders are not required to bid on both sections but must bid on all requirements within a given section. The City of Brantford reserves the right to award the Fire Systems Inspections Contract for the Sanderson Center (Section B) separately. Each Quotation submission must be accompanied by a bid deposit in the form of a bid bond, bank draft, certified cheque, or money order in the amount of TWO THOUSAND FIVE HUNDRED DOLLARS ($2,500) for Section A and FIVE HUNDREAD DOLLARS ($500.00) for Section B, made payable to the Corporation of the City of Brantford (see RFQ for details). The Bid Deposit(s) of the Successful Contractor will be converted to Performance Security for the duration of the Contract.

Sites will be accessible to Bidders for viewing on specific dates/times by appointment only and as per the schedule provided below. Bidders are to contact the appropriate site manager listed for a location to arrange for a site visit. Although site visits are not mandatory, it is highly recommended that Bidders take the opportunity to familiarize themselves with the buildings and their inventories listed in the Quotation documents.. Regardless of whether a Bidder has reviewed the site(s), all Bidders are expected to understand the scope of work, and the site(s) conditions, and to have thoroughly familiarized themselves with all pertinent conditions before delivery of their Quotation. Please be aware that strict guidelines must be followed with respect to photographs taken at all City facilities (especially housing and childcare facilities) during site visits. Please note the Beryl Angus Day Care is not available for viewing during the hours of 11:00 am-2:00pm. Lions Park is only available for viewing during the hours of 3:00 pm- 4:30 pm. Request for Quotation documents may be obtained from the Purchasing Division, Finance Department, the City of Brantford, 1 Market Square, Lower Level, Suite 120, Brantford, ON between the hours of 8:30 a.m. and 4:30 p.m. weekdays. The cost for the Request for Quotation documents is $43.05 (including HST), payable in cash, debit, Visa or MasterCard, or cheque made payable to the Corporation of the City of Brantford. This fee is non-refundable. If unable to visit the Purchasing Division office in person to obtain documents, Bidders may request to have the RFQ forwarded by email. Bidders are to send their requests, along with their method of payment and complete contact information (including name of company, contact name, address, phone, fax and email address) to: purchasing@brantford.ca. Bidders shall be solely responsible for obtaining the RFQ documents and for the delivery of their Quotation submission in the manner and time described in the RFQ. Fax or electronic submissions will NOT be accepted. All requests for information, instructions or clarifications regarding this Request for Quotations (RFQ) must be set out in writing and directed to: Angel Marcos Purchasing Coordinator - Operations Purchasing Division, Finance Department Email: amarcos@brantford.ca All questions related to this RFQ or any clarification with respect to this RFQ must be made no later than 12:00 p.m. on Monday, December 16, 2013 in order that City staff may have sufficient time to respond. The City cannot guarantee a response to any questions received after this deadline. The City reserves the right to extend the deadline for questions if required. The responsibility shall be with the Bidder to seek clarification of any matter that they consider unclear before submitting a Quotation.
