Mobile: 0408 617 894 Email: tranquilimpressions@bigpond.com ARTIST SUBMISSION CONTRACT XI FIP World Polo Championship Art Exhibition Saturday 21 st Sunday 29 th October 2017 Sydney Polo Club, Richmond NSW Curatorial Brief Welcome to the XI FIP World Polo Championship exhibition of contemporary artworks, to be held on the spectacular landscaped grounds at the prestigious Sydney Polo Club. Positioned along the banks of the Hawkesbury River in Richmond, this venue is steeped in history and holds such accolades as having been used as a location in the filming of The Great Gatsby. This exhibition will provide local and national Australian artists with an opportunity for significant exposure by exhibiting their works in conjunction with the internationally renowned event of the XI FIP World Polo Championship 2017. This exhibition aims to showcase to the world the astounding artistic talents of our Australian artists with works that reflect, explore and promote Australia. It will provide the local, national and global audience with the visual dialogue of sculpture and two-dimensional works. The event aspires to enhance visitors experiences by engaging them in the indoor and outdoor galleries, with volunteer guided tours and artist talks. Exhibited works will encompass a diverse range of artistic approaches, materials and practices. Artists are encouraged to take into consideration the scale of their works regarding the exhibition scope and setting. - Selina Hitches, Curator. TERMS & CONDITIONS In the event of a dispute regarding the interpretation of the Conditions of Entry, the decision of the exhibition committee shall be final. ENTRY FEE: An entry fee of $55 inclusive of GST must accompany each submission and is non-refundable. Submissions will not be considered until the full payment is received. The submission form and the entry fee must be received by 5pm Friday, 15 th September, 2017. Fees must be paid via direct deposit to Westpac. (Please put the artist s name in the reference/description) Account Name: World Cup Polo Pty Ltd BSB: 032-272 Account: 360591 Reference: (Artists Name) CONDITIONS OF ENTRY: All submissions must be the original work of the artist. Artists should read the curatorial brief and the Terms and Conditions prior to completing the submission form. Please complete the submission form, and email to: art@sydneypolo.com with supporting documentation. Artists are encouraged to create works that reflect, explore and promote Australian and/or polo subject matter for this exhibition. Artists are advised to consider the subject matter and nature of their works, being mindful of the sensitivities of an inclusive and broad audience. Works will not be considered if they are deemed offensive or discriminatory in any way. The closing date for submissions is 5pm on Friday 15 th September 2017. Late submissions will not be accepted or considered. Artists whose submissions are accepted for this exhibition will be notified via email by Friday 22 nd September 2017. The decision of the Selection Panel is final. Please take into consideration the dates for the exhibition, site meetings, and the installation and de-installation of works, before entering this exhibition. A separate submission form and entry fee must accompany each submission/artwork. Artists may be required to provide additional information prior to being approved for outdoor sculpture installation, including engineering reports. 2

Artists who have been selected for this exhibition may be required for media interviews, if unable please discuss with the curator. Artists who have been selected for this exhibition are required to distribute the media supplied by World Cup Polo Pty Ltd pertaining to the exhibition through their social network platforms when requested and will also have the opportunity to participate in artist talks. The XI FIP World Polo Championship Art Exhibition is subject to cancellation without notice. Full refund for the entry fee(s) paid to World Cup Polo Pty Ltd will be available in the case of cancellation. SCULPTURE OUTDOOR EXHIBITION: All materials, forms and scales of work for outdoor sculpture will be eligible for consideration, except those that are highly reflective or produce noise or bright lights. It is the responsibility of the artist to ensure that their work is maintained for the duration of the exhibition. Artists should only submit works that have the ability to withstand environmental conditions such as wild weather events, sun exposure, wind, rain, as well as the interactions of the public, including children. INDOOR EXHIBITION: SMALL SCULPTURE, PAINTING, PHOTOGRAPHY OR OTHER MEDIUMS: Size: Framed area, including triptychs and diptychs (panels must be attached together as if one piece of artwork), is not to exceed 180 cm x 150 cm. All paintings must be dry, framed or professionally presented, and ready for hanging with wire and D-ring hanging devices. The artist s name, phone number and the title of the work must be clearly marked on the back of the artwork. Small Sculpture: Arrangements are to be made with the curator regarding the plinth. Unless the artist s own plinth is approved by the curator, a hiring cost of $40 or a purchase cost of $150 will apply for this exhibition. AVAILABLE SITES: To be advised: a site map will be supplied closer to the event. Artists whose works are selected for the outdoor exhibition are encouraged to attend site meetings prior to installation. The placement of works will be the decision of the curator, and will take into consideration the requirements of the host venue and the artist s intention for the artwork. PRIZES AND AWARDS: XI FIP World Polo Championship Art Exhibition, First Prize $7,000 XI FIP World Polo Championship Art Exhibition, Second Prize $3,000 XI FIP World Polo Championship Art Exhibition, Third Prize $2,000 SALE OF WORKS: All works must be for sale and include GST in the selling price on the submission form. A 30% commission fee will be charged on all sales. Artists must supply an ABN. If an artist does not have an ABN, and in the event of a sale, a statement of supplier form, must be completed by the artist. Artists are responsible to notify their representing gallery, if applicable. The representing gallery will receive half of the commission (i.e. 15% commission is paid to the representing gallery, and 15% to this exhibition). For artists who become represented by a gallery during this exhibition, no commission on the sale of works will be paid to the gallery. If the artist is either an agent or director of the gallery, no commission will be provided to this gallery. All sales must come through the curator. The artist agrees that all risk associated with their work remains with the artist until in the buyer s possession. The artist takes full responsibility for the delivery of their work to the buyer, ensuring that it is in a condition ready for permanent installation. INSURANCE AND LIABILITY: All risks in the exhibition of sculpture and 2D artworks remain with the artist at all times, irrespective of whether the work is being handled by a member of the exhibition staff, including during the installation and de-installation processes. Artists exhibit at their own risk. This exhibition does not provide any insurance for accidental and malicious damage and we recommend that all artists arrange their own insurance for this exhibition. The artist accepts full responsibility for all such risks in the exhibition including any loss, theft or damage. The responsibility for all risks for the 2D works and the sculptures remain with the artist at all times during transit, installation, during handling by exhibition staff, exhibition, maintenance and removal of their work. By completing the submission form artists authorise the exhibition staff to move or remove artworks or sculptures from the site for any reason, including but not limited to, public safety or for the cohesive curation of the exhibition. Artists must provide a daytime contact number. 4

INSTALLATION AND DE-INSTALLATION: Installation dates allocated for outdoor sculpture are Monday 16 th October 2017 through to Thursday 19 th October 2017. Installation dates allocated for indoor sculpture and 2D works are Monday 16 th October 2017 through to Wednesday 18 th October 2017. Artists are required to either meet, or talk with the curator prior to the exhibition, to allocate a specific time and day for installation. De-installation for outdoor sculpture is Tuesday 31 st October 2017 through to Saturday 4 th November 2017. De-installation for indoor sculpture and 2D works is Tuesday 31 st October 2017. The artist is fully responsible for the installation and de-installation of outdoor sculpture, and the safety of these processes at all times. All exhibiting artists for sculpture must provide a detailed safe work method statement on how they propose to install and de-install their sculptures, listing materials and equipment that will be used. Please bring your own assistance/team and provide their details prior to installation/de-installation. Sculptures must be stable when erected and any damage must be reported immediately to the exhibition curator or assistant curator. Artists need to return their allocated site to its original condition and agree that their sculptures will not affect the surrounding environment in any lasting way. All instruction from the Curator or host venue must be complied with promptly. Artists are responsible for the transportation of works to and from the exhibition, including any costs incurred for freight, transport, installation and de-installation. Should artists require a crane please contact the curator regarding the details of hiring the equipment. Artists are responsible for all packaging materials and ensuring that these materials are removed from site. You are not permitted to store any packaging materials on site. Arrangements can be made with the curator for free off-site storage, however, this must be discussed and approved by the curator prior to installation. All exhibiting artists must remove artworks by Sunday the 4 th November 2017 or it will become the property of Sydney Polo Club, unless prior arrangements have been made with the curator. Artists are required to be inducted onto the site, collect the event manual and sign the register before commencing the installation of their artworks. IMAGE SPECIFICATIONS: Images must be labelled in the form of artist s surname_artists first name_title of work.jpg. For sculpture, please provide three images of the work. For 2D works, including photography, please provide one image of the work. Images must not exceed 5MB. If selected, artists must supply one high quality image of 300dpi, labelled in the form of artist s surname_artists first name_title of work.jpg. World Cup Polo Pty Ltd, Tranquil Impressions Pty Ltd and approved contractors, reserve the right to photograph works exhibited in this exhibition for documentation and promotional purposes. All necessary acknowledgements of authorship will be duly made. 5

PUBLIC RELATIONS, PROMOTONS AND MEDIA: Artists are not permitted to have advertising, websites, sponsors or commercial logos displayed on their works. Artists wishing to use images of his/her work for promotional purposes taken at the exhibition, will please credit the exhibition. Artists must obtain permission from the exhibition s publicist for any press releases relating to their participation in the exhibition; contact with the exhibition s publicist can be via the curator. Artists sponsors are not permitted to host functions on the exhibition site or issue press releases without the written consent of the exhibition publicist.
