2 Overview The 2016 Annual Allocation ordering process will open on 4 th April, 2016 and close 29 th April, Only staff who are employees as at 31 December 2015 will be entitled to order the 2016 Allocation. All other employees are classed as new starters. All allocations are based on shifts/hours worked per fortnight and contracted role. Allocations work on a two year rotating basis Year 1 and Year is a Year 2, year Year 1 is the larger allocation year and includes items such as knitwear and jackets for those deemed appropriate (2013, 2015, 2017) Year 2 (this year) is a top-up year (2014, 2016, 2018) 2016 Annual Allocation garments will be delivered to your home facility in September.

3 Changes to Uniforms Part Time B and Part Time A allocations have been merged so all staff previously allocated to a Part Time B entitlement will now receive the Part Time A allocation a greater allocation. The new Regis logo will be present on your uniform order and any subsequent uniform orders. All staff will be required to be in full uniform with NEW logo only, by the end of Until then, staff may wear the mix of current uniform and the new logo uniform ordered in this years annual order

4 Changes to Uniforms continued Returns and Exchanges can be completed on line now by each staff member. Staff will need to click on ORDERS and select the item(s) they wish to return/exchange and follow the prompts. You will see some item changes available in the HomeCare, Maintenance Officer, Hospitality and Club Services range as well as the addition of a new utility skirt to most ranges. Please see proceeding pages for further details.

5 Deadlines and tasks for all staff employed BEFORE Dec 31,2015 The 2016 Annual Allocation ordering process will open on 4 th April 2016 and close 29 th April Each staff member must place their own order by the due date, using the online process that is explained in this document. No online order = no annual allocation for the whole of Fittings will take place at all facilities for staff who wish to be fitted this is not compulsory and orders must be placed on-line, regardless. Note sample packs will be provided to some regional sites in lieu of fittings. No paper orders will be accepted. An receipt will be sent to you once your order is placed keep this, it is your record of order. All allocations are based on shifts/hours worked per fortnight and role as per details outlined in Time Target. If your details are not correct in Time Target the uniform allocated to you via the online system may also be wrong if this is the case you still need to place an order and exchange the garments later. If you order nothing you run the risk of getting nothing.

6 2016 Allocations All work streams apart from Chefs - In addition to the above, FSA s receive 1 cap and either 1 or 2 aprons - Maintenance staff are not entitled to boots this year Chefs

7 Facility Fitting Days Each facility will be allocated a uniform fitting the allocated time for this fitting will depend on the number of staff at your facility. You will already have your fitting date allocated to your facility This fitting is for staff to try on garments should they feel they need to it is not compulsory for those who have been fitted before and know what they require A fitting form is available on the intranet for each role so employees can write down the garments they like before ordering online Fitting forms are just that they are not order forms and will not be accepted by the fitters nor can they be sent to NNT

8 New Starters Only staff who are employees as at 31 December 2015 will be entitled to order the 2016 Allocation. All other employees are classed as new starters. New starters are to continue to be fitted at Corporate Orientation New starters can be fitted during your facility fitting but they will not be able to order on this day fitters will not be accepting any paperwork New starters should attend Corporate Orientation with the correct pre-populated uniform order form for their role New Starter Order Forms are available on the intranet Sales & Marketing > Marketing Resources > Staff Uniform

9 Exceptions (staff working more than one role) Staff who work more than one role permanently are entitled to have their annual allocation split or mixed to cover these roles Staff are not entitled to two full allocations but a combined allocation reflecting shifts worked in each role, i.e. Karen works part time (5 PCA and 2 FSA) and is therefore entitled to 3 shirts in her allocation. Under this rule Karen will receive her choice of a mix of PCA shirts and FSA shirts (total 3) lower garments are the same Sometimes shifts and additional shifts allocated through Staffing Services do not count as permanent shifts Facilities have been asked to provide a list of staff working more than one role (Exceptions). Staff who are approved for a mixed allocation under these rules will still need to order their allocation online for their primary role but will be provided with a special order form for their secondary role which needs to be returned directly to uniforms@regis.com.au by 20 th April 2016

10 Six Month Top Ups An employees six month top up allocation will appear online in the month following their six month anniversary i.e. anniversary date 23 November, allocation will appear 1 December During the annual allocation period six month top ups should continue to be ordered as normal so if you have a top up and annual allocation you should order both or you may miss out If you do not order your 6 month anniversary allocation within 3 months of your anniversary you run the risk of it being taken off the system All staff eligible for their 6mth top up will receive a reminder from NNT advising their allocation is available to order

11 Online Ordering E-Learning computers in each facility have a link to the online ordering site It is each staff member s responsibility to place their own order All orders must be placed online no paper orders will be accepted. An receipt will be sent once your order is placed keep this, it is your record of order When you log-in please update your details including facility location, address and phone number You will only be able to order what you are entitled to should you try and order additional garments, or not enough, a warning will appear and you will not be able to finalise your order No Annual Orders will be able to be placed after the order cut off date 29 th April 2016

12 Online Ordering How To continued 8. You may see some garments labelled discontinued these are garments that are being phased out but still okay to order if you prefer this style not all sizes will be available 9. Once you have selected all garments proceed to check out Ensure you go to the bottom of the Check Out page and click Place Order. If you don t do this your order will not be processed 10. Once your order is successfully completed you will receive a confirmation if you don t receive this either your details are incorrect or you have not successfully completed your order

26 Additional Information Maternity wear is available it is still compulsory for pregnant staff to be in uniform. Special (Made to Measure) garments are not personally tailored to you they are made to the next size which best fits your measurements. Items supplied in a faulty condition or incorrect size in comparison to that ordered will be exchanged free of charge. Incorrectly ordered sizes will also be exchanged. All returns must first receive a Return Authorisation Number from the supplier so your exchange can be tracked. Note this can now be completed on line Garments must be returned to NNT before a replacement / exchange garment is distributed. Garments for return / exchange can be placed in the facility mail (Australia Post) overnight bags are not to be used and costs will be charged back to your facility.

27 Summary ALL staff are required to be in uniform and options are available to suit all tastes, sizes and work streams. Part time A and Part time B allocations have now merged with no distinction. Part Time B staff will be automatically entitled to the Part Time A allocation Self-purchase of additional items at an agreed Regis price is available on line. The annual order period is available only to staff that started at Regis before 31 st December New starters will be fitted at corporate orientation and receive their starter kit uniform within three weeks of this fitting. Garments can be returned following the correct Regis Return/Exchange process All orders must be completed on line within the 2016 Annual Allocation ordering period opening 4 th April 2016 and closing 29 th April Uniforms will be delivered to your allocated home facility in September
